Privacy Policy

Padma is a software product of DyGarn Technical Solutions ("DyGarn", "we", "us"), based in Halifax, Nova Scotia, Canada. Padma is the operating headquarters for electrical and lighting rep agencies. This policy explains what information Padma collects, how we use and protect it, and the choices you have. It covers the Padma application and the padmahq.com website.

Who our customers are

Padma is a business-to-business service used by rep agencies and their teams. Each agency ("tenant") owns the business data it puts into Padma. We process that data on the agency's behalf to provide the service.

Information we collect

Account information

When your agency creates a Padma account, we collect names, work email addresses, roles, and organization details for the people who use it.

Business data you enter

Padma stores the operating data your team creates or imports, such as contacts, companies, quotes, projects, submittals, orders, and commissions.

Connected mailbox data (Google and Microsoft)

If you choose to connect a Google or Microsoft mailbox, Padma accesses the email messages and related metadata needed to build your contact and deal timeline inside the CRM, and, where you enable it, to send email on your behalf. You authorize this connection through your email provider's standard OAuth consent screen, and you can disconnect it at any time. Access tokens are stored encrypted at rest, and are used only to provide these features to you.

Usage information

We collect standard analytics and log data (pages used, device and browser type, approximate location from IP, and error diagnostics) to operate and improve the service.

Google user data and Limited Use

Padma's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We use Google user data only to provide and improve the user-facing features you connect your mailbox for;
  • We do not sell Google user data, and we do not transfer it except as needed to provide the service or as required by law;
  • We do not use Google user data for advertising;
  • We do not use Google user data to train generalized or standalone artificial intelligence or machine-learning models;
  • We do not allow humans to read Google user data unless we have your consent for specific messages, it is necessary for security or to comply with law, or the data is aggregated and anonymized.

How we use information

How we share information

We do not sell your data. We share it only with vetted service providers that host and run Padma on our behalf, such as cloud hosting, database, and transactional-email providers, each bound by confidentiality and permitted to use the data only to provide their service. We may disclose information if required by law or to protect the rights and safety of users and the public.

Data ownership

Your agency's business data, and the data about your contacts and customers, belongs to you. We act as a processor of that data and use it only to provide the service.

Retention and deletion

We retain your data while your account is active. You can disconnect a mailbox at any time, which revokes Padma's access and deletes the stored tokens for that mailbox. On account termination, or on written request, we delete or return your data within a reasonable period, subject to any legal retention obligations.

Security

We protect data with encryption in transit and encryption at rest for credentials, role-based access controls, and tenant isolation so that one agency cannot access another's data. No system is perfectly secure, but we work continuously to safeguard your information.

Your rights

Subject to applicable law (including Canada's PIPEDA), you may request access to, correction of, or deletion of personal information we hold, and you may withdraw consent for a connected mailbox by disconnecting it. Email greg@dygarn.com to make a request.

Children

Padma is a business service and is not directed to children under 16. We do not knowingly collect their information.

Changes to this policy

We may update this policy from time to time. We will revise the "Last updated" date above and, for material changes, provide notice within the product or by email.
